Job Title: Administrative Assistant
Direct Report: Secretary-Treasurer/Chief Executive Officer
General Description: Performs difficult, sensitive and confidential administrative and support services to the Secretary-Treasurer/CEO and other staff as necessary. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment for this position.
Duties/Responsibilities:
- Prepares all documents, correspondence, spreadsheets and other appropriate information for meetings
- Maintains council membership database including annual update survey
- Reviews council emails and directs to appropriate staff
- Responds to council emails when appropriate
- Opens all council mail and routes it to appropriate staff
- Maintains monthly spreadsheet of all payments received
- Tracks all credit card payments and receipts for office
- Able to prioritize and manage multiple projects, and follow through on issues in a timely manner
- May plan, organize, communicate and implement special events
- May purchase event supplies, and office supplies on a regular basis
- Organizes office meetings materials and refreshments
- Arrange travel, prepare itinerary, prepare trip file
- Prepare expense reports for Secretary-Treasurer
- Coordinates office equipment repairs with vendors supporting phone system, computers, and copier
- Prepares all correspondence
- Organizes and maintains council filing system
- Responsible for other duties as assigned
Qualifications Required:
- Associate Degree or three (3) years experience in office work
- Excellent oral and written communication skills
- Operate and manage multi-line phone system. Excellent telephone skills are required due to the high volume of calls
- Possess strong computer skills and have excellent knowledge of Microsoft Word, Excel, and Access
- Ability to work in an extremely busy environment with little supervision and a diverse population
- Able to exercise sound judgment with areas of responsibility
- Familiarity and support of the labor movement in general
- Capability of working varied hours and weekends on occasion
- Possess a valid California Driver License
Qualifications Preferred:
- Bi-lingual: English-Spanish
- Union member active in their local union
Salary/Benefits:
Salary level is commensurate with experience and qualifications. The Labor Council provides excellent benefits including fully-paid individual and family health, dental, and vision, paid sick and vacation days and holidays. Employer pays up to 12% into 401K.
